WhatsApp payment reminders for Malaysian businesses
A payment reminder on WhatsApp is a short message that tells a customer an amount is due or overdue and how to pay it. Colpay prepares these reminders for Malaysian businesses from each customer's instalment schedule and sends them by WhatsApp, email or in the app, once your business WhatsApp connection is set up. You set the rules, the wording and the language, and you can approve every reminder before it goes out.
Colpay is a tracking and communication tool for your business. It is not a lender or a debt collector, it does not move money, and it cannot promise that a customer will pay.
Facts checked .
Every reminder has a clear state
Reminder history shows each reminder as pending, sent, failed or dismissed, so you can see what went out and what needs a retry.
Copy-paste payment reminder WhatsApp templates
Copy the template that fits the stage of the payment, then replace the words in round brackets with your own details. You can paste it into WhatsApp by hand, or use it as the starting wording for a Colpay template.
Example only. These four messages are original wording written for this page. Check the amount and the date before you send.

How do automated payment reminders work in Colpay?
You set reminder rules once for each company, and Colpay prepares overdue-payment and service-renewal reminders from your customers' schedules. Each reminder goes out through the channels you choose: in the app, by email, or by WhatsApp once that connection is set up.
A reminder rule is a saved setting that tells Colpay which reminders to prepare, for which situation, and through which channels.
Rules that follow the schedule
- Overdue-payment reminders come from each customer's instalment plans and due dates.
- Renewal reminders come from service expiry, for memberships, courses and subscriptions.
- Reminder rules and channels are part of each company's settings.
One-off reminders
- Schedule a reminder for one customer with a date, channels and language.
- Write your own text or pick a saved template.
- Reminders also appear on the calendar next to instalments due and service expiry.
See what will go out next
- A preview of future reminders shows what your current data would send.
- Check it after changing a schedule or a rule, before anything reaches a customer.
Reminders come from the schedule you keep in Colpay. For help setting up a schedule, read the instalment payment schedule guide.
Can I check reminders before they are sent?
Yes. Reminders can wait for approval before they go to a customer by email or WhatsApp. Authorised team members can approve, dismiss, mute, cancel, restore or retry supported reminders.
Approval before sending
- Turn on approval so a person checks each reminder before external delivery.
- Dismiss a reminder that no longer applies, for example after a customer has paid.
- Retry a failed reminder once the problem is fixed.
Who can do what
- Team roles are owner, administrator, staff and viewer.
- Viewers can only read; approvals have extra restrictions.
- Activity is kept so you can see who changed a business record.
Can one reminder cover several overdue payments?
Yes. When a customer has more than one overdue instalment plan, Colpay can combine them into one overdue reminder instead of sending a separate message for every plan.
This keeps the conversation short for customers who bought several packages or products on instalments, and it avoids a burst of messages on the same day.
Which languages can reminder messages use?
Reminder message templates can be written in English, Bahasa Melayu and Chinese. You edit the wording yourself, and each message fills in the customer's own details.
A message template is saved reminder wording with blanks that Colpay fills in for each customer, such as their name and the amount due.
Your wording, three languages
- Edit template wording and preview it with a customer's details.
- Switch a template on or off without deleting it.
- Choose the language when you schedule a one-off reminder.
Need wording to start from?
Our payment reminder message examples cover a polite first reminder, an overdue reminder and a final reminder, written for businesses rather than debt collectors.
Message language is separate from the language of the Colpay screens, which are mostly in English.
Can I stop reminders for one customer?
Yes. Each customer has a reminder switch: turning it off stops their reminders and dismisses any that are waiting. Marking a customer as not renewing stops only their renewal reminders.
Reminder switch
Use it for a customer who has agreed a new arrangement with you, or who should not receive automated messages. Waiting reminders for that customer are dismissed.
Not renewing
Use it when a customer has told you they will not renew a membership, course or subscription. It stops renewal reminders only.

Can I send WhatsApp payment reminders in bulk?
Yes. Colpay's bulk customer messaging selects recipients by product purchased, service expiry or overdue status, shows a preview, and sends to the recipients you select with campaign progress.
WhatsApp delivery depends on your channel setup, the customer's details and approved templates where WhatsApp requires them.
What does WhatsApp delivery need?
Automatic WhatsApp delivery needs your business WhatsApp connection set up in Colpay, a WhatsApp number on the customer's record and, where WhatsApp requires them, approved message templates. Without that connection, Colpay can open a prepared WhatsApp message that you send yourself.
Connected channel
- Customer records hold a phone number and a separate WhatsApp contact, with Malaysian phone-number handling.
- WhatsApp treats free-text messages and templates differently, and some messages need an approved template.
- If a channel is not configured, a reminder can be skipped rather than sent.
Prepared message you send yourself
- Colpay opens WhatsApp with the message already written.
- You check it and press send in your own WhatsApp.
- Preparing the message is not proof that it was delivered.
A queued reminder or a prepared link is not a delivered message. Delivery depends on your channel setup, the customer's details and WhatsApp's own rules. Scheduled reminders can stop if your Colpay subscription lapses and the account becomes read-only.
How much do Colpay's payment reminders cost?
Reminders are part of Colpay. Current plans, prices and trial length are shown on the pricing page and inside the app.
